Information we collect
Native registration collects applicant and guardian contact details, address, date of birth, marital status, occupation or school, ancestry where relevant, personal stories, achievements, a signature, photo identification, and submitted portraits. We also keep program selections, consent version, submission status, and operational records needed to administer an application.
Why we use it
We use this information to determine eligibility, administer competitions, contact applicants or guardians, process registration, maintain consent records, prevent abuse, and meet legal and accounting obligations. Personal stories and ancestry information are reviewed only for the program purposes described in the application.
Square payments
Square Web Payments securely tokenizes payment details in your browser. Universe For Cause receives only a short-lived payment token and payment status or reference; we do not receive or store full card numbers or security codes. Square processes payment data under its own privacy notice and terms.
Azure services and access
Registration records and private uploads are processed using Microsoft Azure services. Access is limited to authorized administrators. Files are not published at permanent public URLs, and notification emails do not attach photo identification or portraits. Service providers may process limited technical logs needed for security and reliability.
Legacy Jotform records
Authorized administrators may import historic registrations from Jotform into the native system. Imported records remain subject to the same access and retention controls. Jotform remains responsible for information retained in its service under its own policies.
Minors
Applicants under 18 must apply with a parent or legal guardian. We collect the guardian’s name, phone, consent, and signature authority to administer the minor’s application. A guardian may contact us about the minor’s information.
Retention and deletion
Authorized administrators control retention according to competition, safeguarding, legal, dispute, and accounting needs. Records and private uploads are deleted when no longer needed under the organization’s approved retention schedule. You may request access, correction, or deletion, subject to legal exceptions, by emailing pageants@ampowering.org.
Your choices and questions
Do not submit sensitive information beyond what the form requests. Contact pageants@ampowering.org before applying if you need an accommodation or have a privacy question. Submitting a request does not guarantee immediate deletion where retention is legally or operationally required.
